Record forms are a really useful and versatile part of the system, as they can be connected to the rest of the data in your CRM and used for lots of purposes.

Record Forms can be shared externally as well as used internally, so they’re great for surveys, monitoring and evaluation which you might otherwise do on paper or through another online form.

As an internal CRM user, we can head into the Records section to add a response for any of our forms, or view the responses we’ve received. 

When we’re viewing responses internally, we also have the option to connect these responses up to other data – so we can connect an individual response to a person or organisation, or connect all of our feedback to the project or event it relates to, for our reporting. These Connection fields won’t display to external users even if they appear on the form, so your internal CRM data is kept safe. 

To speed up the process of organising or processing our record form responses, we can use the bulk actions functionality to select the responses we’re interested in, and select the bulk action we’d like to perform. This will allow us to tag these responses or add connections in bulk, or move our responses between different Record forms. 

Record forms themselves are configured by Admin users, so if the options or fields on the form need to be amended, CRM admins can easily add new fields or change the available options through the Form settings.

For forms that you’d like to share externally, you can specify a person or persons who should be notified when a new form is responded to – this can be really handy if you have a volunteer manager who needs to keep an eye out for new enquiries, for example.

You can share the link directly, or we provide an embed code if you’d like this form to sit directly on your website.

As soon as your responses begin to come in, you’ll be able to filter these by date, tags or any connection fields you’ve configured.

Our statistics view also gives a quick overview of the key statistics from your form responses; so for example, any short text fields where we’ve restricted the form to only allow number inputs, we can see averages and totals here.
